The fastest fix starts with a clear report. Four things help every time:

Which room. Sanctuary, Hasley Chapel, Piro Hall, Students, or Smith Worship Center. Rooms share very little equipment, so the room narrows it more than anything else you can say.
What you see or hear, not what you think is broken. "The left screen is black" is more useful than "the projector is dead", because the projector is often not the thing that failed.
How many things are affected. One screen or three. One mic or the whole row. This is the single most useful sentence in the whole report.
What time you noticed, and whether the service has started.

You do not need to diagnose it. Saying "I do not know what is wrong, here is what I see" is a complete and useful report.

If something was working earlier the same day and is not now, say so. That rules out a great deal very quickly.

If it is already during a service, say that first. It changes what the team does — some fixes take a room down for a few minutes and are worth it before a service and not during one.
